Why Political Offices Need Digital Management
Citizen expectations are rising
Today, Citizens won't be satisfied by just that their representative heard the issue. They need a tracking system and feedback mechanism. They need updates when their letter went into process, what someone is doing on it and when they should expect a response because they are in habit of doing the same with a bank or online order. Any political office who cannot give these basic experience and assurance loses trust and that lost trust might turn into lost votes.
The workload keeps growing
Any representative or politician want their reach among citizens grow and along with this more people will reach their office with requests or complaints. An office which was working efficiently with a notebook and whatsapp, will eventually fail with increasing number of citizens.
Offices are rarely in one place
Do you how many offices a representative have? An office in his constituency, another at the capital, one at the party office, if representative is an MP then one in each legislative assembly, some are set up during election or programs. Each of these offices have letters, appointment details and citizen records spread across and bringing them all together is not easy.
Paper records don't scale

Sharing documents is still ok but thinking you will find the documents from chat when you need it is just a matter of luck. Chats are never built with structure, no label and you can never know for whom you need to take action.
Excel sheets break down quickly
Excel spreadsheets is a good option but only for a while, once the different staffs of the office starts updating it. There is no history of update, anyone can overwrite anything or everything, formula breaks as input type is not defined and documents cannot be added to it.
No visibility into what's happening
Working offline means there is no dashboard, no numbers to glace or nothing flagged as priority to do. Every time, representative have to ask the staff to know what's pending and office is working on what.
No accountability for who did what
If a citizen gives his request even as a letter but when it's not marked in proper channels. Probably no one is going to act on it or at least there is no accountability to act on it. And when the citizen comes back to enquire about it later, then there is no record of where that letter is and what work is done upon it.
No data to learn from
